About Course
Personal information is used throughout an organisation’s daily activities—from customer service and employee administration to marketing, payments, security and business decision-making. When this information is handled incorrectly, the consequences may include harm to data subjects, operational disruption, loss of trust, regulatory action and reputational damage.
The Protection of Personal Information Act 4 of 2013 (POPIA) establishes requirements for the lawful and responsible processing of personal information in South Africa. Compliance, however, depends on more than policies, systems and the work of the Information Officer. Every employee who collects, accesses, uses, stores, shares or disposes of personal information contributes to how effectively it is protected.
This course is intended for employees, managers, contractors and other workplace participants who handle personal information as part of their responsibilities. It is particularly relevant to personnel working in:
- Customer service and operations.
- Human Resources and payroll.
- Sales and marketing.
- Finance and procurement.
- Information Technology and security.
- Legal, risk and compliance.
- Records and information management.
- Management and supervisory roles.
The course is suitable for general employee awareness, induction and refresher training. It may also provide a useful foundation for employees who support privacy-related processes. It does not require learners to have prior legal or technical knowledge.
Learners will examine:
- The meaning and importance of personal information.
- The roles of responsible parties, operators and data subjects.
- The conditions for lawful processing.
- Appropriate information collection, use, sharing, retention and disposal.
- The rights available to data subjects.
- The recognition and referral of rights requests.
- Security safeguards and the reporting of suspected compromises.
- Individual responsibility and organisational accountability.
Practical examples and workplace scenarios will help learners recognise risks, make careful decisions and respond appropriately when the correct action is uncertain. Employees are not expected to make complex legal decisions independently. They are expected to understand the requirements relevant to their work, follow approved processes, protect information within their control and seek guidance when necessary.
By the end of the course, learners should be better equipped to handle personal information responsibly, support data-subject rights and contribute to a workplace culture in which privacy and accountability form part of everyday decision-making.
